Office Manager

Position Title: Office Manager
Department: Operations 
Reports to: VP of Operations

Position Summary

The responsibility of the Office Manager is to maintain the day-to-day office operation of Preco and to foster a positive, engaging workplace culture.  The ideal candidate will possess excellent organizational, communication, and interpersonal skills, and will be able to multitask effectively in a fast-paced environment. 

Job Responsibilities

  1. Organize and coordinate company functions and culture–building activities.
  2. Maintain office consumables such as coffee, general supplies, and first aid items.
  3. Manage various service providers, including maintenance, grounds, and cleaning services.
  4. Answer and screen all incoming telephone calls, maintaining a professional image.
  5. Greet incoming personnel, including customers, vendors, and job applicants. 
  6. Maintain and order all office supplies.
  7. Manage the intake and output of mail, processing as instructed and notifying recipients of pickup.
  8. Perform routine clerical work using Outlook, Word, Excel, and PowerPoint.
  9. Handle copying and filing tasks as required.
  10. Serve as the first point of contact for visitors entering the building.
  11. Prepare internal visitor notifications and ensure badges are made and ready.
  12. Handle the Amazon account for office purchases. 

Human Resources Support

  • Support the HR team with various tasks
  • Prepare for new hires by creating, organizing, and assembling orientation and safety binders.
  • Assist with internal communications, including birthday announcements, anniversaries, and other celebratory events.

Event Planning

  • Plan and organize internal events such as parties, lunches, and meetings. 
  • Coordinate company-wide events and activities to promote a positive culture.
  • Help coordinate travel arrangements for visitors and other VIPs.

Culture Development

  1. Drive a positive and inclusive workplace culture.   
  2. Prepare and distribute internal communications to keep employees informed and engaged. 
  3. Assist the CEO with various executive assistant activities as needed. 

Qualifications

  • Previous experience supporting HR functions.
  • Familiarity with handling office supply orders and managing vendor relationships.
  • Prior experience with electrical and metal purchasing.

Preferred Qualifications

  • Bachelor’s degree in business administration, Human Resources, or a related field preferred.

Physical Demands

  • Repetitive back, wrists, arm, shoulder, elbow, and finger movements occur continuously.
  • Extended hours of sitting, viewing a computer screen, keyboard/mouse operation.
  • Direct communications with company personnel and external customers

Education

  • Bachelor's degree in Business Administration, Human Resources or a related field
